How to keep your tracking clients: 7 habits that reduce churn
In a subscription business like tracking, keeping a client is worth more than winning a new one. Every client who cancels takes recurring income with them, and replacing that income costs time and money.
Most clients leave for simple reasons: they stopped seeing value, a problem was not fixed quickly, or nobody ever spoke to them. These seven habits address all three.
1. Onboard properly
Train the client’s team on the app, set up their alerts and reports, and check that every device is reporting. A client who understands the platform uses it, and a client who uses it stays.
2. Send a regular value report
Once a month, send a short summary showing what the tracking delivered: kilometres covered, alerts handled, fuel or idling findings, or incidents resolved. People cancel what they cannot see working.
3. Fix offline devices before the client notices
Check regularly for units that have stopped reporting. Contacting the client first, with a fix already underway, builds trust.
4. Answer fast
Agree a response time and keep to it. A quick reply to a small problem prevents a cancellation.
5. Handle renewals with notice
Remind clients before a subscription expires, and make renewal easy. A surprise suspension feels like a failure, even when it is only a missed payment.
6. Review usage and suggest improvements
Every few months, look at how each client uses the platform. A client with fuel losses may need fuel monitoring, and one with trailers may need asset tracking. Useful suggestions raise your income and deepen the relationship.
7. Ask for feedback and referrals
Ask what could be better, and act on it. Happy clients often refer others, and each referral comes with built-in trust.
Track your churn
Count how many clients and units you lose each month, and note why. Patterns, such as one installer’s clients leaving more often, show you where to improve.
Data Drive’s CMS and ERP keep clients, units, invoices and renewals together, so renewals and follow-ups are easier to manage.
